Privacy policy

BoekSolutions respects the privacy of customers, users and visitors of the website. In this privacy policy we explain what personal data we process, why we do so and what rights you have.

1. Data controller

The data controller for the processing of personal data is BoekSolutions, reachable at info@boeksolutions.nl. For questions about this privacy policy or the processing of personal data, you can contact us via the above e-mail address.

2. What data do we process?

  • contact details you share via forms, e-mail or other communication channels, such as name, company name, e-mail address and telephone number;
  • customer and invoice details, such as company name, address details, VAT details and payment details;
  • license details, such as name, company, e-mail address, license code, product, license type and activation status;
  • technical data from software activation, such as product version, activation date, license status and technical logs necessary for license verification;
  • support details, such as error messages, system information or files you provide yourself with a support question;
  • anonymised or aggregated website analytics, if enabled.

3. Purposes of processing

  • performing agreements, including delivering software, licenses, updates and support;
  • managing and verifying software licenses;
  • answering questions and providing support;
  • maintaining the customer relationship;
  • sending important product information, updates or security notifications;
  • improving the website, software and services;
  • complying with legal obligations, including tax and administrative retention requirements.

4. Legal basis for processing

BoekSolutions processes personal data only when a legal basis exists. Depending on the situation, we process data based on:

  • performance of an agreement;
  • legal obligations;
  • legitimate interest, such as license verification, security, support and improvement of services;
  • consent, for example for analytical cookies when these are not fully privacy-friendly configured.

You can withdraw given consent at any time. Withdrawing consent does not affect processing that already took place before the consent was withdrawn.

5. What we do not do

BoekSolutions does not sell personal data to third parties. The Sheet Set Editor and other local BoekSolutions software do not send project files, DWG files, DST files, drawings or company documents to BoekSolutions servers, unless you actively provide these yourself for example for support. Edits in the software take place locally on the user's system, unless explicitly stated otherwise.

6. Sharing data with third parties

BoekSolutions only shares personal data with third parties when this is necessary for the performance of the agreement, the service provision or to comply with legal obligations. Think of parties such as:

  • hosting providers;
  • payment service providers;
  • accounting or administrative software;
  • e-mail services;
  • software or license platforms;
  • support or analysis tools, if used.

When third parties process personal data on behalf of BoekSolutions, appropriate agreements are made to safeguard the privacy and security of data.

7. Retention periods

BoekSolutions does not retain personal data longer than necessary for the purpose for which the data was collected. For administrative and tax data, the legal retention period of seven years applies. License details may be retained as long as necessary to manage licenses, activations, updates, support and rights to use the software. Support data is not retained longer than necessary for handling the support question, unless longer retention is needed for security, error analysis or improvement of the software.

8. Security

BoekSolutions takes appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, modification or disclosure. Access to personal data is limited to persons and systems for which access is necessary.

9. Your rights

You have the right to:

  • request access to the personal data we process about *you*;
  • have incorrect data corrected;
  • have data deleted;
  • have processing of data restricted;
  • object to processing;
  • have data transferred to yourself or another party;
  • withdraw previously given consent.

BoekSolutions may ask for additional information to verify your identity before a request is fulfilled.

10. Cookies

The BoekSolutions website uses functional cookies that are necessary for the website to function properly. Analytical cookies are only used when these are privacy-friendly configured or when consent has been given for this. When tracking cookies or marketing cookies are used, this only happens after prior consent.

11. Complaints

If you feel that BoekSolutions does not handle personal data carefully, you can contact us via info@boeksolutions.nl. You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

12. Changes

BoekSolutions may amend this privacy policy when the services, software, website or legislation changes. The most recent version of the privacy policy is available via the BoekSolutions website.

13. Multi-Level Production BOM Editor (Microsoft Dynamics 365 Business Central)

This section applies specifically to the Boeksolutions app Multi-Level Production BOM Editor for Microsoft Dynamics 365 Business Central. The app runs inside the customer's own Business Central environment.

  • Staged data stays in app-owned tables inside the customer's Business Central environment.
  • That data can include item, BOM and version codes, component number and description, quantity per, unit, routing link code, validation message, session status, the Business Central user name, the company name, and technical IDs and timestamps.
  • The current version of the app calls no external web service and deliberately sends no BOM content to Boeksolutions.
  • Microsoft platform telemetry applies. In addition, Marketplace and operational technical extension telemetry may go to the Boeksolutions Application Insights environment and may contain app, environment, tenant and error metadata.
  • Custom logging in the app deliberately does not include BOM content, component descriptions, quantities, routing codes or user names.
  • For support, Boeksolutions only processes what the customer voluntarily supplies, such as screenshots, error messages or sample data.

Boeksolutions has no direct access to data inside the customer's Business Central tenant. The customer remains the controller for the data in its own environment.

When raising a support request, do not send passwords, tokens or other secrets, and do not send confidential data that is not needed to reproduce the issue.
